We are urgently hiring for an AP Supervisor in the Plymouth area. This position is contract to hire with intention to be long term for the right fit! Salary range is $70k-$80k
Job Duties/Description:
* Supervise a 3-person AP team
* Ensure team members efficiently process 80-100 transactions daily using a 3-way match.
* Resolve exceptions (currently 40% of transactions) in collaboration with Account Managers who act as buyers.
* Train and mentor AP team members in reconciling vendor statements and processing past-due payments.
* Address system limitations in NetSuite and implement manual processes to manage these challenges until full optimization is achieved.
* Take ownership of the AP inbox, managing 30-50 emails daily.
* Prioritize and respond to critical emails, especially those related to past-due payments or vendors on hold.
* Monitor the inbox at least hourly to ensure timely responses.
* Process vendor prepayment requests using Smart Sheet, logging and handling them promptly.
* Prioritize urgent requests and ensure they are addressed accordingly.
* Manage vendor notifications regarding on-hold status and take necessary actions to resolve issues.
* Collaborate with vendors to remove holds, such as expediting payments or providing necessary documentation.
* Accurately enter approximately 100 non-PO invoices per week into NetSuite.
* Ensure high levels of accuracy and attention to detail in all invoice entries.
* Oversee the entry of approved expense reports into the AP system.
* Ensure all entries are accurate and processed in a timely manner.
Requirements:
* Supervisory experience
* Proficiency in NetSuite or similar ERP systems.
* Strong understanding of 3-way match processes and vendor reconciliation.
* Excellent problem-solving skills and the ability to work in a dynamic, fast-paced environment.
* Strong communication skills, both written and verbal.
