Job Description
We are looking for a dependable Administrative Assistant to support daily office operations in Colorado. This role is ideal for someone who thrives in a fast-paced, detail-focused environment and can manage a wide range of administrative, communication, and coordination tasks with accuracy and discretion. The position works closely with internal staff, physicians, committees, and hospital partners while helping keep office processes organized, efficient, and responsive.
Responsibilities:
• Serve as a central point of contact for office personnel, physicians, committees, and hospital-related partners, ensuring requests are directed promptly and appropriately.
• Coordinate and track assigned office initiatives, keeping projects organized and moving forward according to established priorities.
• Answer incoming calls, greet inquiries courteously, and route communications to the appropriate contact while maintaining a welcoming front-office presence.
• Manage incoming and outgoing mail, including sorting, prioritizing, and distributing materials in a timely manner.
• Support correspondence and records handling related to billing matters, collection inquiries, medical record requests, and risk management communications.
• Provide administrative assistance with expense documentation, invoices, accounts payable items, reporting, payroll-related tasks, and reconciliation activities as requested.
• Arrange travel and event logistics for meetings, conferences, and staff activities, including scheduling, reservations, and related coordination.
• Oversee day-to-day office operations such as supply ordering, workspace organization, vendor coordination, and facility-related needs including recycling, shredding, and cleanliness.
• Organize meetings and group functions by securing locations, coordinating catering, preparing materials, recording minutes, and distributing follow-up documentation.
• Maintain files, create business documents and presentations, protect confidential information, and identify opportunities to improve efficiency and consistency across office operations.• At least 5 years of experience providing administrative support in an office setting.
• Proven ability to manage multiple priorities effectively while maintaining strong attention to detail.
• Proficiency with personal computers, standard office equipment, and printer operations.
• Advanced working knowledge of Microsoft Office applications.
• Strong verbal and written communication skills with a detail-focused and service-oriented approach.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Self-motivated, organized, and capable of working independently while supporting a team environment.
