We are looking for an Administrative Assistant to support recruiting operations, executive scheduling, and day-to-day office coordination for a hedge fund in Stamford, Connecticut. This Long-term Contract position requires someone who can keep priorities organized, communicate effectively with internal and external contacts, and ensure administrative processes run smoothly. The role offers a blend of recruiting support, general administrative duties, and office management responsibilities in a fast-paced, detail-focused environment.
Responsibilities:
• Oversee coordination of hiring activity across several open roles, helping move candidates efficiently through each stage of the process.
• Publish and update job advertisements across recruiting channels while keeping postings accurate and current.
• Act as the main point of contact for outside search partners and recruiting vendors, ensuring clear communication and timely follow-up.
• Maintain candidate tracking records, interview notes, and status updates so leadership has clear visibility into recruiting progress.
• Arrange interviews by aligning calendars for applicants, recruiters, and internal stakeholders, and support related assessments when needed.
• Provide administrative support to firm leadership through calendar management, meeting coordination, and preparation of business documents and presentation materials.
• Organize electronic and paper files, handle incoming correspondence and deliveries, and assist with a range of special projects as priorities arise.
• Manage office supply levels, coordinate lunches and occasional team events, and address workplace and facility needs to maintain an efficient office setting.• Strong organizational ability with a high level of accuracy and close attention to detail.
• Clear written and verbal communication skills suited to a business environment that values attention to detail.
• Demonstrated ability to balance multiple assignments, manage changing priorities, and meet deadlines consistently.
• Proficiency with Microsoft Office tools, including Outlook, Excel, Word, PowerPoint, and Teams.
• Experience supporting scheduling, meetings, and general administrative workflows.
• Strong interpersonal skills and an effective approach that support interaction with colleagues, candidates, and external partners.
• Ability to work independently while also collaborating effectively across teams.
• Previous experience in recruiting coordination, office administration, or office management is preferred.
