We are looking for an Administrative Assistant to support daily office operations in Stamford, Connecticut. This Long-term Contract opportunity is ideal for someone who enjoys keeping workflows organized, handling detailed administrative tasks, and providing dependable support in a busy on-site environment. The role will contribute to purchasing, invoicing, record maintenance, and customer-related administration while helping the team stay efficient and responsive.
Responsibilities:
• Coordinate purchasing support by preparing and tracking purchase-related documentation and following up on order activity.
• Enter large volumes of information into company systems with a high level of accuracy and consistency.
• Record and monitor timesheet details to help maintain organized and up-to-date workforce records.
• Maintain part usage logs and ensure sign-out records remain current and properly documented.
• Assist with payment processing and prepare invoice-related information for accurate customer billing.
• Create and update customer profiles in internal systems to support smooth account setup and recordkeeping.
• Receive incoming parts, unpack shipments, and route materials promptly to the appropriate technicians.
• Provide general administrative and front-office support to help day-to-day operations run smoothly.
• Learn internal software tools as needed, including company platforms used for operational and administrative tasks.• Prior experience in administrative support, office coordination, customer service, purchasing assistance, or a similar role is preferred.
• Strong data entry capability with careful attention to accuracy, detail, and record integrity.
• Ability to quickly adapt to new software applications and technology-based processes.
• Solid organizational skills with the ability to manage multiple tasks and meet deadlines in a fast-paced setting.
• Proficiency in Microsoft Office applications, especially Excel and Outlook.
• Comfortable handling receptionist-style duties and interacting professionally with internal teams and customers.
• Strong written and verbal communication skills paired with a dependable and team-oriented work style.
