We are looking for a detail-oriented Administrative Assistant to support undergraduate student life operations in Hoboken, New Jersey. This is a Contract position in a university setting, ideal for someone who enjoys balancing front-office support, customer service, and administrative coordination in a busy campus environment. The role is fully onsite and offers the opportunity to assist students, staff, and campus partners while helping manage financial and operational activities for student organizations.
Responsibilities:
• Provide front-desk and office support by greeting students, employees, and visitors and directing inquiries professionally.
• Handle administrative and data entry tasks related to purchasing activity for student organizations and departmental needs.
• Review and reconcile purchasing card charges, reimbursements, and other financial records with accuracy and timeliness.
• Maintain organized records for vendor paperwork, agreements, insurance documents, and related compliance materials.
• Use university systems such as Workday and Concur to submit purchase requests, process transactions, and monitor approvals.
• Respond to questions from student organizations regarding spending procedures, contracts, and purchasing documentation.
• Assist with budget tracking and help monitor financial activity across a large volume of student organization transactions.
• Support the planning and execution of campus events and provide administrative assistance on special projects as needed.• Prior experience in administrative support, office coordination, reception, or a similar business support role.
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
• Clear and detail-oriented communication skills, including strong customer service abilities in person and by phone.
• Comfort working with data entry, financial documentation, and detailed recordkeeping responsibilities.
• Ability to interact effectively with students, faculty, staff, and external visitors.
• Experience with expense reconciliation, purchasing support, or other finance-related administrative tasks is preferred.
• Familiarity with systems such as Workday or Concur is helpful, though training can be provided.
