Job Description
We are looking for a detail-oriented Receptionist to support daily front-desk and office operations for a contract position based in Denver, Colorado. This role serves as a key point of contact for visitors, employees, and vendors while helping the office run smoothly through strong organization, service, and attention to detail. The ideal candidate brings prior reception or administrative experience, communicates clearly, and can manage multiple priorities in a reliable and dependable manner.
Responsibilities:
• Greet guests, employees, and vendors in a courteous manner, identify the purpose of each visit, and connect visitors with the appropriate team members.
• Manage incoming and outgoing mail operations, including sorting deliveries, preparing large mailings, maintaining postage equipment and supplies, and coordinating carrier pickups.
• Arrange cost-conscious shipping through approved delivery providers and track outgoing packages to ensure timely arrival.
• Maintain shared calendars and conference room schedules, helping teams organize appointments, meetings, and space reservations efficiently.
• Keep the office stocked with kitchen, workplace, and event supplies, and submit related purchases and expenses accurately using the company card process.
• Support the upkeep of common areas through light daily maintenance tasks and coordinate with service providers for repairs, equipment servicing, and replacement needs.
• Assist with office facilities administration, including floor plan updates, key tracking, security access coordination, and communication with building management.
• Partner with internal teams to organize records storage, retention documentation, and off-site file management in accordance with established compliance practices.
• Coordinate logistics for meetings and events by reserving rooms, arranging catering, preparing materials, and assisting with participant support for internal and client-facing gatherings.
• Provide general administrative assistance such as filing, scanning, copying, assembling reports, and supporting board meeting preparation, travel, venue, and document coordination when needed.• At least 2 years of experience in a receptionist, front-desk, or administrative support position.
• Ability to manage a multi-line phone system and handle inbound calls professionally and efficiently.
• Strong customer service skills with the ability to interact effectively with clients, coworkers, and external partners.
• Solid organizational skills with the capacity to manage mail, calendars, meeting logistics, and multiple competing tasks.
• Proficiency with standard office technology and administrative tasks, including scanning, filing, copying, and report preparation.
• Comfortable coordinating vendors, office supplies, shipping services, and basic facilities-related requests.
• Strong written and verbal communication skills with close attention to accuracy and follow-through.
