- Key ResponsibilitiesServe as the primary point of contact at reception, greeting visitors, clients, and employees in a warm, professional, and polished manner.
- Create a positive front-of-house experience that reflects company and client values.
- Oversee daily building and office operations, including conducting workplace inspections and walk-throughs to ensure cleanliness, functionality, and safety standards are maintained.
- Coordinate meeting room bookings and manage room setup, reset, and readiness for scheduled meetings and events.
- Support event planning and execution, including room configurations, catering, audiovisual/video conferencing requests, and coordination with security, housekeeping, and external vendors.
- Manage relationships with service providers such as cleaning, maintenance, and security teams to ensure services are delivered effectively and issues are resolved promptly.
- Maintain inventory of workplace and meeting room supplies and provide utilization reporting to support efficient space management.
- Assist with office moves, seating changes, and space planning initiatives by maintaining accurate floor plans and coordinating with project management and IT teams.
- Administer visitor management processes, including issuing security passes, notifying hosts of arrivals, coordinating building access, and supporting guest escort procedures.
- Help ensure compliance with workplace health, safety, and security protocols through regular monitoring and adherence to established procedures.
- Provide responsive, high-touch customer service and proactively address employee and visitor needs to enhance the workplace experience.
• Prior experience in reception, hospitality, customer service, or workplace support within an office setting.
• Strong interpersonal and verbal communication skills with the ability to interact confidently with visitors, employees, and vendors.
• Comfortable managing multiple tasks at once while maintaining accuracy and attention to detail.
• Ability to work independently and collaboratively in a team-oriented environment with a proactive service mindset.
• Familiarity with office operations, visitor coordination, and basic facilities or building support practices.
• Proficiency with Microsoft Office applications and standard administrative tools used for scheduling, reporting, and communication.
• Understanding of workplace safety, security, and compliance expectations in a corporate environment.
• Availability to work a Monday through Friday schedule and start within approximately 30 days.
