Job title: Office Manager
Location: Joshua Institute, 2150 W Cherry Lane, Meridian, ID 83642
Hours: 3⁄4 time ~ typically Monday through Thursday, 8:30 AM to 4:00 PM, but hours are not rigid. Occasional flexibility is needed to work a little later or a few evenings during annual academic year peak times. There is also flexibility in taking time off during the day or leaving early for personal appointments during slower times of the year.
About Joshua Institute:
We are a small, private, non-denominational, Christian school for students in grades 2-12 with learning difficulties (such as dyslexia, dysgraphia, and ADHD). There is a maximum of 60 students in our Academy, and our students attend school Monday through Thursday from 9:00 - 3:00. Twice a week, students receive an hour of one-on-one Educational Therapy. In addition to our Academy, Joshua Institute also provides Cognitive and Academic Achievement testing (non-diagnostic) as well as Educational Therapy for non-Academy students.
Job Description:
We are looking for an enthusiastic, detail minded, and highly organized office manager to join our team. In this role, you will be at the heart of our operations, ensuring the office runs smoothly and efficiently for the benefit of not only our staff but our families as well.
Job Salary:
- Training: $18-$20/hour (depending on experience) beginning immediately
- Hours will begin closer to 15 hours/week and ramp up to 30 hrs/week around November, depending on date of hire and experience of the employee.
- You will be trained by the current Office Manager.
- Salary: $28k - $38k per year (depending on experience)
- The new-hire will take over full time Office Manager duties in January 2027.
- Pay is monthly over a 12 month period.
Job Responsibilities and Tasks:
- Oversee monthly invoicing and receipt of payment from our families
- Oversee monthly payment of our vendor invoices and operational expenses
- Ensure staff payroll is promptly and accurately paid every month
- File monthly, quarterly, and annual taxes (payroll, SUTA, W2s, etc...)
- Create the annual Academy and Ed Services student contracts
- Maintain student files, records and databases
- Maintain staff files and records
- Identify inefficiencies and implement solutions to streamline paperwork workflows and procedures
- Create and maintain various spreadsheets (student roster, waitlists, financial, etc...)
- Provide administrative assistance to leadership and staff
- Act as a central point for internal communications among leadership, teachers, coaches, and parents of our students
- Monitor and report on office expenses, inventory supply, and administrative budgets
Skills and Qualifications:
Must-have/be:
- Ability to manage multiple responsibilities and prioritize tasks effectively
- Quick learner
- Information-organization skills and detail-oriented
- Self-motivated and take initiative as any workflow issues become evident
- A knack for identifying issues and implementing creative, practical solutions
- Excellent verbal and written communication skills - both internally among staff and externally with the families and various vendors
- Experience with Google Drive and/or Microsoft Excel
- Bachelor’s degree (prefer the degree is in the business field)
Nice-to-have:
- Experience as an office manager or in a comparable administrative leadership role with a track record of success in maintaining efficient operations
- Experience with Quickbooks
- Familiarity with running Payroll and filing company taxes
- Familiarity with maintaining records
- Certification in office management, administrative leadership, or related fields
- Knowledge of workplace safety standards, legal requirements, and industry best-practices for maintaining a secure and compliant office environment
