We are looking for an organized Office Manager to support daily business operations in Florida. This contract opportunity with potential for a long-term role is a hybrid, part-time position scheduled for Monday, Wednesday, and Friday, offering the chance to contribute across administration, coordination, and office support functions. The ideal candidate enjoys keeping workflows on track, building strong communication with vendors and subcontractors, and providing dependable support to leadership in a busy environment.
Responsibilities:
• Coordinate calendars by arranging meetings, appointments, and related scheduling needs for the office and leadership team.
• Communicate with subcontractors and vendors to gather updates, confirm next steps, and help keep activities moving forward.
• Maintain organized administrative files, company records, and supporting documentation for day-to-day office operations.
• Manage filing systems and ensure office documents are stored accurately and can be retrieved efficiently when needed.
• Provide direct administrative assistance to leadership and other internal stakeholders.
• Support routine office functions while contributing to special assignments and priority projects as needed.
• Help oversee front-desk and receptionist-related tasks to ensure a well-organized and responsive office environment.
• Monitor office supply levels, place orders when needed, and maintain appropriate stock for daily operations.
• Assist with accounts payable support by organizing invoices and helping track administrative financial paperwork.• Prior experience in an administrative, office support, or office management capacity is preferred.
• Strong written and verbal communication skills with the ability to interact professionally with vendors and internal teams.
• Demonstrated ability to stay organized, manage multiple tasks, and adjust priorities effectively.
• Proficiency with Microsoft Office applications and comfort learning company-specific systems and tools.
• Ability to work independently in a hybrid, part-time schedule while maintaining consistent follow-through.
• Experience handling office supply management, general receptionist duties, or accounts payable support is a plus.
