Overview
We are looking for a highly organized, patient-focused Front Office Coordinator to become the central hub of our day-to-day clinic operations. The MOST important quality we are looking for is a positive, happy and bubbly personality that will connect and communicate with our Patients effortlessly.
This role is the first point of contact for our patients and the coordination engine that keeps our schedules, communication, and patient experience running smoothly.
You will be responsible for managing the front desk, guiding patients through their visit, and ensuring every interaction—from the first phone call to the check-out experience—is efficient, welcoming, and professional.
You are not a manager and will not supervise staff—but you will own the flow of the patient experience.

What You’ll Do
- Serve as the first point of contact for patients via phone, email, and in person
- Answer incoming calls, respond to inquiries, and schedule patient appointments efficiently
- Check patients in and out while ensuring a smooth and welcoming clinic experience
- Guide patients through scheduling, paperwork, and general clinic questions
- Maintain an organized appointment schedule and coordinate with providers
- Handle patient follow-ups, reminders, and administrative communication
- Ensure the front office runs smoothly and nothing falls through the cracks
- Assist with patient documentation, scanning, and chart preparation
- Support clinic operations with administrative tasks as needed
- Maintain a clean, organized, and professional front desk environment
- Help create an exceptional experience at every patient touchpoint
Expectations
- Full-time schedule: Tuesday – Saturday
- This is an hourly position with full-time hours
- You will be the primary front desk presence for patient communication
- The role requires strong organization, reliability, and follow-through
- You must be comfortable managing multiple tasks and priorities simultaneously

Qualifications
- Prior experience in customer service, front desk, hospitality, or healthcare administration
- Strong communication skills (phone, in-person, and email)
- Exceptional organizational skills and attention to detail
- Ability to multitask in a fast-paced environment
- Friendly, professional, and confident interacting with patients
- A proactive “go-getter” mindset with a desire to improve systems and processes
Compensation & Benefits
- Hourly Pay: $18-$20 /Hr (Competitive, based on experience and ability to take Ownership of tasks).
