Role Overview:
We are seeking a warm, detail-oriented, and proactive Front Desk Administrator to be the welcoming face of our firm. You will manage our reception area, provide critical administrative support, and ensure our daily office operations run seamlessly during our busy tax season and beyond. The right person for this position will become familiar with our clients, processes and procedures, various tax documents and forms, filing requirements, and deadlines.
Key Responsibilities:
- Client Service & Reception: Greet visitors, answer and direct phone calls, and respond to general client inquiries with professionalism and warmth.
- Scheduling: Coordinate and schedule appointments for our managers and partners.
- Workflow Support & Data Management: Organize and process incoming/outgoing mail, client documents, and tax returns, assist with assembling tax returns, maintaining physical and digital client files, and managing e-signature software all following company procedures.
- Office Maintenance: Monitor and order office supplies, and maintain a neat, professional reception area.
- Administrative Ad-Hoc Tasks: Support the Office Manager and others under her direction.
Qualifications & Skills:
- High School Diploma or equivalent; Associate’s or Bachelor’s degree in business or a related field is a plus.
- Minimum of 2+ years of professional administrative or receptionist experience, preferably in a CPA firm, law office, or other fast-paced professional services environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new tax/practice management software.
- Excellent verbal and written communication skills.
- Highest standards of discretion and integrity when handling confidential financial and personal information.
- Strong organizational and multi-tasking skills with a high level of attention to detail.

- Hours – Outside of busy season hours are Monday-Thursday, 8:00am-5:00pm (32 Hours) and during busy season Monday-Friday, 8:00am-5:00pm (40 hours).
