Front Desk Administrative Assistant

Insurance Agency | Seasonal Position

We are looking for a friendly, dependable, and organized Front Desk Administrative Assistant to join our insurance agency team. This position is perfect for someone who enjoys working with people, is comfortable multitasking, and can help keep a busy office running smoothly.

As the first point of contact for many of our clients, you will play an important role in creating a welcoming and professional experience while providing administrative support to our insurance agents and office staff.

Position Schedule

Monday–Friday
Regular Hours: 9:30 AM–3:30 PM

The position begins in August with shorter hours while you learn our office procedures, systems, and daily responsibilities.

Beginning in October, hours will increase as we enter our busy Open Enrollment season. The seasonal position will continue through February.

Primary Responsibilities

• Answer and manage a multi-line phone system in a friendly and professional manner
• Greet clients and visitors and help create a welcoming office environment
• Schedule, confirm, and update client appointments for insurance agents
• Perform accurate data entry and update client information in agency systems
• Complete daily office opening duties and prepare the front desk for the day
• Route calls and messages to the appropriate agent or staff member
• Assist clients with basic questions and determine which team member can best assist them
• Monitor appointment calendars and help keep agents' schedules organized
• Scan, upload, organize, and electronically file documents
• Assist with incoming mail, correspondence, and general office paperwork
• Maintain office supplies and help keep the reception and common areas organized
• Provide general administrative support to agents and other team members
• Assist with additional projects and office needs during the busy Open Enrollment season

• Is willing to jump in and help wherever needed

About the Position

This is a great opportunity to gain experience in a professional insurance office while working with a friendly, supportive team. The role starts at a lighter pace in August, allowing time for training and learning our systems before our busiest season begins.

From October through the Open Enrollment season, the office becomes much busier, so the ability to stay organized, positive, and calm while handling phones, appointments, clients, and administrative tasks is especially important.
