Executive Assistant – Madison, NJ - $101k to $130k, d/o/e
In this position you’ll support the Executive Director with your strategic, operations and organizational expertise!
Responsibilities include:
Ø Serve as a trusted advisor and though partner to the Executive Director by providing administrative, operational and strategic support.
Ø Manage and prioritize Executive Director initiatives, ensuring deadlines, deliverables and organizational commitments are met.
Ø Prepare briefing materials, reports, presentations, agendas and meeting summaries for executive leadership and board meetings.
Ø Track organizational priorities and follow up with leaders to ensure accountability and completion.
Ø Manage the Executive Director’s meetings, calendars, appointments and executive priorities.
Ø Prepare correspondence, communications, memos and presentations on behalf of the Executive Director.
Ø Partner with department leaders to ensure alignment with facility goals and priorities.
Ø Monitor key facility metrics: Quality measures, survey readiness, staffing metrics, resident satisfaction, operational performance indicators.
Ø Assist with preparation for regulatory surveys and audits.
Ø Serve as a communication bridge between the Executive Director and leaders.
Ø Coordinate information gathering from leadership departments for executive reporting.
Ø Support relationships with community partners, healthcare organizations, donors and stakeholders.
Ø Assist with special projects involving fundraising, community engagement, and organizational advancement.
Ø Assist with expense tracking, budget preparation and administrative reporting.
Ø Coordinate purchase requests, contracts, vendor communications and executive approval as needed.
Ø Support documentation management and administrative workflows.
Ø Maintain confidential executive records, reports and organizational documents.
Ø Help drive organizational change initiatives and ensure effective communication throughout the facility.
Ø Lead and coordinate special projects assigned by the Executive Director.
Ø Develop project plans, timelines, tracking tools and progress reports.
Ø Support implementation of new programs, services and strategic initiatives.
Ø Ensure cross-functional collaboration among departments.
Requirements include:
Ø Bachelor’s degree in healthcare administration, Business Administration, Public Administration, Nursing Administrations, Human Resources, or related field preferred
Ø Minimum of 5 years of progressive administrative, healthcare operations, executive support or leadership experience.
Ø Experience working in a skilled nursing facility, long-term care, healthcare organization, or similar regulated environment preferred.
Ø Strong understanding of healthcare operations, regulatory requirements and leadership structures.
