Job Summary The Executive Assistant provides comprehensive administrative support to senior professionals in a fast-paced, client-facing environment. This role manages complex calendars, coordinates meetings and travel, prepares business communications, supports operational activities, and serves as a key liaison between executives, clients, and internal stakeholders. The ideal candidate is highly organized, proactive, detail-oriented, and capable of handling confidential information with professionalism and discretion. Key Responsibilities Manage complex and frequently changing calendars for multiple senior professionals, resolving scheduling conflicts and prioritizing appointments. Coordinate internal and external meetings, conference calls, and video conferences across multiple time zones. Schedule global meetings on short notice while ensuring maximum attendance and efficient execution. Monitor executive schedules, including travel arrangements and key business commitments. Serve as a primary point of contact for clients, senior leaders, and internal stakeholders. Coordinate recurring and ad hoc meetings with external partners and executive assistants. Manage meeting logistics, invitations, agendas, presentation materials, and administrative workflows. Handle confidential communications with professionalism and discretion. Provide phone coverage, screen calls, and prioritize urgent matters. Draft, edit, and prepare correspondence, presentations, reports, and other business documents. Manage incoming emails, mail, and administrative requests while ensuring timely follow-up. Maintain organized records, files, and business documentation. Utilize AI-enabled administrative tools to improve document preparation, communication, and task management. Coordinate meeting logistics, including conference rooms, audiovisual equipment, technology, and catering. Organize client events, team meetings, business functions, and special events. Arrange domestic and international travel, including flights, hotels, transportation, approvals, and travel itineraries. Prepare and process expense reports accurately and resolve related issues. Collaborate with internal departments to resolve operational issues and obtain necessary information. Conduct research to support business initiatives and executive decision-making. Provide backup support for team members and adapt to changing business priorities. Assist with onboarding, training temporary staff, and supporting special projects. Perform additional administrative duties as assigned. Required Qualifications 3+ years of experience as an Executive Assistant or in a similar administrative support role within a fast-paced professional environment. Strong organizational, multitasking, and time management skills. Ability to work independently, anticipate business needs, and exercise sound judgment. Excellent verbal and written communication skills. Experience supporting multiple senior leaders with complex scheduling requirements. Strong attention to detail and accuracy. Professionalism and discretion when handling confidential information. Flexibility and adaptability in a dynamic work environment. Advanced proficiency in Microsoft Outlook, including calendar management. Strong working knowledge of Microsoft Word, Excel, and PowerPoint. Experience with video conferencing platforms, travel booking systems, and expense management tools. Preferred Qualifications Bachelor's degree or equivalent professional experience. Experience using AI-enabled workplace productivity tools such as Microsoft Copilot, ChatGPT Enterprise, Gemini, or similar platforms. Education: Bachelors Degree
