Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Intelligence Health Group, Inc. The ideal candidate will support the daily administrative functions, manage communications, and handle essential office operations as needed. This role involves coordinating with multiple departments, external partners, and patients while ensuring accurate documentation and efficient workflows.
Key Responsibilities:
- Manage phone calls, emails, and other communication between patients, external partners, and internal departments.
- Maintain and update administrative and patient records, filing, and organizing electronic medical documents.
- Provide support to medical staff by preparing reports, drafting correspondence, and managing supplies.
- Assist with basic bookkeeping tasks, including handling payments and reconciling office accounts, as needed.
- Ensure compliance with office policies, procedures, and legal regulations.
- Assist with special projects or other duties as assigned by management.
Required Qualifications:
- High school diploma or equivalent.
- Proficiency with Microsoft Office (Word, Excel, and Outlook) and experience with electronic medical record (EMR) systems.
- Excellent communication, organization, and time-management skills.
- Ability to handle confidential and sensitive information with discretion.
- Strong customer service skills and a friendly, professional demeanor.
Preferred Qualifications:
- Bilingual (Spanish preferred)
- Previous experience in a medical office, virtual healthcare, and administrative support.
- Familiarity with medical terminology and healthcare documentation.
- Experience with basic accounting, bookkeeping, or financial tasks.
- Basic knowledge of medical billing and coding practices.
