Educare of Omaha, Inc. is a collaborative partnership between the Early Head Start/Head Start, Omaha Public Schools and the Buffett Early Childhood Fund. Comprised of the two Educare Omaha Schools (Kellom and Indian Hill) and the three Early Learning Centers (Skinner, Gateway and Kennedy), the mission of Educare of Omaha, Inc. is to promote school readiness by enhancing the social and cognitive development of children ages 0 to 5 through the provision of evidence-based education, health, nutritional, social, family engagement and other services to enrolled children and their families.
The Payroll Administrator reports to the Fiscal Service Director and is responsible for the day-to-day payroll operations ensuring accurate and timely processing of payroll for Educare of Omaha, Inc. This role requires attention to detail, strong organizational skills, and a comprehensive understanding of payroll processes and compliance with federal, state, and local regulations. The Payroll Administrator will collaborate cross functionally with departments to resolve payroll-related issues and ensure smooth operations.
Schedule: This position is full-time, 40 hours per week, Monday-Friday, 8:00am-5:00pm (schedule is flexible) with flexibility available as needed based at our Early Learning Center at Skinner.

Reports to: Fiscal Services Director
Supervises: The Payroll Administrator is a non-supervisory position.
DUTIES AND RESPONSIBILITIES
- Accurately process payroll for employees on a regular schedule using the organization's payroll system.
- Oversight of internal payroll preparation and maintains payroll operation by collecting timesheets, calculating, and entering data.
- Enter and verify employee data, including hours worked, overtime, deductions, bonuses, and other payroll-related information.
- Update payroll records by reviewing and approving changes in exemptions, insurance coverage, and savings deductions.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws, including proper tax withholdings and reporting.
- Maintain accurate payroll records, including employee files, payroll transactions, and reports, ensuring confidentiality.
- Coordinate with HR to manage employee benefits deductions, including health insurance, retirement contributions, and other voluntary benefits.
- Coordinate with Professional Development to attend new hire orientation to guide and train new employees with Payroll processes.
- Address and resolve payroll discrepancies, employee inquiries/requests, and issues related to pay, taxes, benefits or using the payroll app.
- Assist with internal and external payroll audits by providing necessary documentation and reports.
- Identify opportunities for process improvements in payroll operations and assist in implementing changes.
- Contribute to the team effort by assisting fellow team members in the overall payroll operation. Proficiency in payroll software (UKG, ADP or similar), Microsoft Word, Excel, and Outlook
- Stay abreast of changes in payroll laws, regulations, and best practices
- Generate payroll-related reports for internal stakeholders, auditors, and government agencies as needed.
- Complete Nebraska BLS 3020 quarterly tax report
- Serve as a primary point of contact for payroll-related inquiries and provide timely and accurate responses to employees, supervisors, and other stakeholders.
- Document procedures for Payroll Training Manual
- Ensure employees receive resources and training regarding payroll initiatives and new regulations.
- Ensure accurate calculation and distribution of all employees’ salaries, wages, and other compensation
EDUCATION / QUALIFICATIONS
- Bachelor’s degree in accounting, Business Administration, Finance, or a related degree.
- Associate’s degree in accounting, Business Administration, Finance, or related degree PLUS a minimum of four (4) years of responsible work experience in payroll or related business activity may substitute for a bachelor’s degree.
- Two (2) years of responsible full-time work experience in payroll or payroll-related business activity required. Five (5) years preferred.
- Advanced knowledge of payroll accounting systems and compliance requirements required.
- One or more years of supervisory experience preferred.
- Experience in a school, community college, or university setting preferred.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus preferred.
