Job Overview
We are seeking a detail-oriented and highly organized Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support to ensure the efficient operation of the office. Key Responsibilities:
- Office Management: Maintain office supplies inventory, order supplies as needed, and ensure the office is well-organized.
- Scheduling: Coordinate and schedule appointments, meetings, and travel arrangements for staff members.
- Communication: Handle incoming calls, emails, and correspondence, directing them to the appropriate personnel.
- Documentation: Prepare and edit documents, reports, and presentations, ensuring accuracy and professionalism.
- Filing and Record Keeping: Maintain accurate and organized filing systems, both physical and digital, ensuring easy retrieval of information.
- Data Entry: Input and update data into databases and spreadsheets, maintaining data integrity and accuracy.
- Support to Team: Assist various departments with administrative tasks and projects as needed, providing support to ensure smooth operations.
- Customer Service: Greet and assist visitors, clients, and staff, providing a friendly and professional first point of contact.
- Meeting Preparation: Set up meeting rooms, prepare agendas, and take meeting minutes as required.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Qualifications:
- Education: High School Diploma or GED required; Associate's or Bachelor's degree preferred.
- Experience: Minimum of 2 years of administrative or office support experience.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
