The Vision of the Front Office Supervisor is the essential link in providing a team-based approach to patient care and an exceptional patient experience. The Front Office Supervisor will emphasize highly personalized care and help patients surpass barriers to healthcare by improving the patient/provider relationship.
The Front Office Supervisor is responsible for maintaining a courteous and efficient Front Desk operation, and to manage, lead and direct all front desk employees.
Duties and Responsibilities include but are not limited to:
- Ensures White Glove Service within the Front Offices of Ortho RI
- Hiring, training, supervising, and scheduling of all Front Desk staff
- Mentor and develop new Front Desk Receptionists
- Participate with employee performance review process
- Managing payroll for Front Desk
- Routinely checks to be sure all patients are accounted for and being helped to eliminate patients’ wait times
- Evaluates the patient check in process to ensure effectiveness of patient experience
- Ensures that messages, emails, and patient requests are answered
- Confirms completion for the end day reconciliation for patient in office payments
- Responds to patient complaints in a timely and appropriate manner.
- Act as a Front Desk Receptionist role when necessary
- Provides feedback to Practice Manager
- Compliance with HIPAA and OSHA regulations
- Other duties may be assigned as necessary

Knowledge:

- Navigating Insurance Authorization websites
- Knowledge of estimated co-payment and co-insurance
- Provide day to day operational guidance
- Ability to collaborate with supervisory teams and administrators on projects or assigned tasks
Skills:
- Basic practices and methods in the repair of buildings, including safety procedures; common tools, equipment and materials used in the carpentry, plumbing, painting and electrical trades; electro-mechanical appliances used in homes and other buildings.
- Familiarity and follow through with all HIPAA compliance

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Physical Demands:
• Requires mobility, frequent walking, standing, and sitting, some bending, stooping, and stretching and periodic lifting of up to 50 lbs.
• While performing the duties of this job, the employee is regularly required to converse and hear.
• Requires normal (corrected) vision.
• Requires coordination and manual dexterity sufficient to operate office equipment.
Position Type and Expected Hours of Work: This is a full-time position. Days and hours of work are typically Monday through Friday and may vary depend on Company Schedule.
Travel: No overnight travel is expected for this position. There will be frequent day travel to Company Divisions.
Required Education and Experience
- High School Diploma or equivalent
- Minimum of three years supervisory experience in physician office setting, Orthopedics preferred
- Any combination of education, training, and experience that demonstrates the ability to perform the duties of the position.
