We are looking for an Administrative Coordinator to support daily operational and organizational needs for a Contract position based in Goleta, California. This role focuses on maintaining well-ordered material records, coordinating sample and inventory information, and ensuring both physical and digital resources remain accurate and easy to access. The ideal candidate is detail-oriented, dependable, and comfortable working independently while providing consistent administrative support to the broader team.
Responsibilities:
• Maintain organized physical and electronic libraries for materials, samples, and related documentation to support efficient team access.
• Track sample movement, testing details, and inventory updates with a high level of accuracy across internal records and databases.
• Prepare, label, file, archive, and retrieve material swatches and product samples in a timely and systematic manner.
• Use Microsoft Office tools, including Excel, Outlook, and PowerPoint, to manage reports, communications, schedules, and documentation.
• Assist with administrative coordination tied to materials, merchandising, product development, or inventory-related activities.
• Monitor library cleanliness and order to ensure stored items remain accessible, properly identified, and easy to locate.
• Support team objectives by managing multiple priorities independently and following through on routine coordination tasks.
• Contribute to process-related updates within tracking systems or internal platforms when material information requires maintenance or adjustment.• At least 1 year of experience in administrative coordination, inventory support, sample management, or a related function.
• Demonstrated ability to organize and maintain both digital files and physical materials with strong attention to detail.
• Proficiency with Microsoft Office, including Excel, Outlook, and PowerPoint.
• Experience working with samples, materials, merchandising, product development, or similar operational workflows is preferred.
• Ability to manage records accurately, including inventory data, testing information, and archived materials.
• Strong organizational skills with the ability to prioritize tasks and maintain an orderly workspace.
• Dependable and self-directed work style, with the ability to contribute effectively with minimal supervision.
• Familiarity with product lifecycle or material tracking systems such as FlexPLM is a plus.
