Responsibilities:
• Welcome patients and visitors warmly, ensuring each interaction reflects courtesy and respect.
• Manage incoming phone calls and direct inquiries to the appropriate staff members in a timely manner.
• Coordinate appointment scheduling and provide patients with clear instructions regarding forms and visit preparation.
• Confirm demographic and insurance details, updating records accurately within the office system.
• Organize patient charts and documentation ahead of scheduled visits to support efficient clinical workflows.
• Collect copays and other payments, document transactions accurately, and assist patients with payment plan arrangements when needed.
• Gather required insurance and billing documentation to help facilitate timely claims processing.
• Communicate with patients, providers, and external contacts to obtain missing information and resolve administrative questions.
• Monitor front-office inventory and place orders for essential supplies to maintain daily operations.
• Perform additional administrative support duties as needed to assist the practice.
• Previous experience in a medical front office required.
• Proficiency in scheduling appointments, patient check-in, and general receptionist responsibilities.
• Familiarity with basic medical terminology used in a clinical environment.
• Experience verifying medical insurance information and collecting required patient documentation.
• Working knowledge of electronic medical record systems and accurate data entry practices.
• Ability to handle payments, maintain transaction records, and explain financial information clearly to patients.
