Our client is looking for a Lease & Tenant Coordinator to help manage the process from the time a tenant signs a lease through move-in and throughout their occupancy.
This person will work closely with tenants, Leasing, Construction, Property Management, Development, and Accounting teams to make sure lease requirements, tenant improvements, payments, paperwork, and important deadlines are handled properly.
The ideal candidate is organized, detail-oriented, professional, and comfortable communicating with tenants and internal teams.
Key ResponsibilitiesTenant & Lease CoordinationManage and track the tenant process from lease signing through occupancy.
Maintain regular communication with tenants and help resolve questions or issues related to their lease, account, or property.
Build and maintain positive working relationships with tenants.
Coordinate the collection and distribution of lease documents and required information.
Obtain tenant drawings, approvals, paperwork, and other required documents.
Prepare and maintain lease briefs for amendments, assignments, terminations, and renewals.
Track important lease dates, construction milestones, occupancy dates, renewals, rent increases, and lease expirations.
Coordinate the overall tenant delivery process with Construction and Property Management.
Prepare and distribute lease exhibits and turnover documentation.
Coordinate approvals related to tenant improvements and lease administration.
Track Tenant Improvement Allowances (TIA) and related documentation.
Communicate tenant concerns and project updates to Leasing, Development, Construction, and Property Management.
Participate in monthly or as-needed Business Development meetings to provide updates on tenant issues and progress.
Review tenant accounts receivable (A/R) reports on a weekly basis.
Follow up with tenants regarding overdue or delinquent payments.
Work with Accounting and Property Management to resolve billing or balance disputes.
Prepare monthly reports showing collection activity and progress.
Coordinate long-term collection efforts with collection agencies and collection attorneys.
Monitor tenant payments and initiate collection procedures when necessary.
Monitor upcoming lease renewals, rent increases, and lease expirations.
Prepare reports for Property Management regarding upcoming renewals and expirations.
Follow up on renewal and rent increase activities as directed.
Prepare written tenant correspondence, including rent increase notices, reconciliations, estoppel requests, and other lease-related documents.
Maintain accurate and up-to-date:
Tenant contact, legal, billing, and emergency information.
Vendor and utility information for each property.
Paper and electronic lease files.
Tenant sales reports.
Insurance certificates.
Systems and maintenance reports.
Acquisition and disposition property files.
Other lease and tenant-related records and documents.
Bachelor's degree or equivalent professional experience.
Experience in commercial real estate, property management, lease administration, tenant coordination, or a related field is preferred.
Strong written and verbal communication skills.
