We are seeking a detail-oriented and customer-focused Mortgage Administrative Assistant II to support daily branch operations in a fast-paced mortgage lending environment. This position plays a key role in ensuring loan files are processed accurately and efficiently while providing administrative support to processors, branch leadership, and customers.
The ideal candidate will have prior administrative experience within the mortgage, banking, or financial services industry, possess strong organizational skills, and thrive in a collaborative office setting.
Key Responsibilities
- Provide administrative and clerical support to Mortgage Processors and Branch Leadership.
- Assist with gathering and ordering loan-related documentation, including insurance, appraisals, title and escrow documents, 4506s, LDP/GSAs, CAIVRs, bond program items, and other supporting documents.
- Print, prepare, and mail disclosure packages and loan-related correspondence.
- Follow up with escrow companies and third-party vendors regarding trailing documents and outstanding items.
- Audit loan files for accuracy, completeness, and compliance requirements.
- Assist with file reconciliation, cancellations, and maintaining records according to company policies.
- Answer incoming phone calls and provide professional customer service while directing inquiries appropriately.
- Sort, distribute, and track incoming mail and packages.
- Prepare mailings and other branch communications as needed.
- Monitor and maintain office supply inventory, placing orders when necessary.
- Assist with basic office technology troubleshooting and coordinate with the IT Help Desk.
- Perform general office duties including filing, scanning, copying, faxing, and document management.
- Create meeting materials, reports, presentations, and marketing deliverables.
- Coordinate meetings, events, and conferences with internal teams and external partners.
- Monitor and reconcile appraisal and credit report invoice discrepancies.
- Draft and distribute correspondence, memos, and other business communications.
- Maintain a clean, organized, and professional office environment.
- Create and update forms, processes, and documentation to improve branch efficiency.
Required Qualifications
- 1–3+ years of administrative assistant experience, preferably within mortgage, banking, lending, or financial services.
- Strong understanding of mortgage documentation and loan processing workflows.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Excellent customer service and interpersonal communication skills.
- Strong written and verbal communication abilities with a high attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Self-motivated with strong organizational skills and a proactive approach to problem-solving.
- Ability to type 60–70 WPM.
- Professional demeanor with the ability to handle confidential information.
Preferred Qualifications
- Previous experience supporting a mortgage branch, loan processing team, or financial services office.
- Experience reviewing loan files and coordinating with title, escrow, and appraisal vendors.
- Familiarity with mortgage compliance documentation and lending terminology.
