Aerotek is seeking a Project Coordination Specialist:
Job Description
This role focuses on coordinating construction projects from start-up through completion, assembling and auditing project completion packages, preparing invoices, and ensuring accurate documentation across multiple systems. You will work closely with internal teams and customers to track project progress, support billing activities, and maintain organized records that enable smooth project execution.
Responsibilities
- Assemble and audit project completion packages to ensure all required documentation is accurate and complete.
- Prepare invoices and provide detailed billing documentation to the billing team in a timely manner.
- Communicate effectively with customers, project managers, project planners, and superintendents to share updates and gather necessary information.
- Track project progress and provide regular updates to all involved parties for job start-ups and invoicing.
- Enter hours from project planners and construction crews into Smartsheet with a high degree of accuracy.
- Create field project binders for construction crews, including all required project-related forms and documentation.
- Perform data entry in multiple systems such as Smartsheet, Sage, Microsoft applications, and the company server.
- Organize and maintain filing systems for both electronic and hard copy documents.
- Document, store, and retain project records in the server and as hard copies according to established procedures.
- Support construction administration and project management activities as needed.
- Provide responsive and professional customer service to internal and external stakeholders.
- Work independently while contributing to team objectives and project timelines.

- Experience using Smartsheet for tracking project hours and progress.
- Familiarity with Sage software for project or billing-related tasks.
- Proficiency with Microsoft applications for documentation and data entry.

Work Environment
This is a full-time, onsite role with a standard schedule of Monday through Friday, 8:00 a.m. to 4:30 p.m., including a 30-minute lunch break. You will work in an office environment that supports construction and project management activities, using technologies such as Smartsheet, Sage, Microsoft applications, and a server-based document storage system. The work involves regular computer use, handling both electronic and paper files, and collaborating with project teams in a professional setting.
Job Type & LocationThis is a Contract position based out of Houston, TX.
Pay and BenefitsThe pay range for this position is $21.00 - $25.00/hr.
