Position Summary
The Operational Support Services Specialist is a vital member of the Support Services team responsible for the timely processing, organization, and distribution of patient and insurance correspondence across multiple healthcare facilities. Reporting to the Manager of Support Services, this role ensures critical documents are accurately received, indexed, scanned, and routed to support revenue cycle operations and maintain compliance with HIPAA and organizational standards.
Key Responsibilities
- Receive, review, and process patient and insurance correspondence from multiple sources, including mail, email, fax, and bank lockbox transactions.
- Sort, organize, scan, index, and upload documents into document imaging, workflow, and patient accounting systems.
- Demonstrate an understanding of revenue cycle processes, including patient billing, collections, denials, and financial assistance, to accurately route documentation to the appropriate teams.
- Ensure all mailroom and document imaging activities are completed accurately and efficiently to support timely account resolution and minimize financial risk.
- Sort, date-stamp, and distribute incoming correspondence, including checks, faxes, emails, and postal mail.
- Maintain document security and confidentiality in accordance with HIPAA regulations and company policies.
- Assist with onboarding and training new team members as needed.
- Cross-train across departmental functions to support operational efficiency and business continuity.
- Perform additional duties and special projects as assigned.
Required Qualifications
- High school diploma or GED equivalent.
- Minimum of 1 year of clerical, administrative support, mailroom, or healthcare revenue cycle experience.
- Proficiency with Microsoft Office or Google Workspace applications.
- Strong organizational skills with exceptional attention to detail.
- Ability to learn and navigate multiple software systems and applications.
- Ability to lift and move packages weighing up to 25 pounds.
Preferred Qualifications
- 2+ years of clerical, administrative, mailroom, or healthcare revenue cycle experience.
- Previous experience working within a healthcare environment.
- Experience using document imaging systems, electronic health record (EHR), or patient accounting platforms such as Hyland or Cerner.
