POSITION SUMMARY
The Transcript Production Specialist supports the Production Manager in producing accurate court transcripts in both electronic and paper formats. This role keeps the transcript production process moving — managing files, entering job information, troubleshooting issues between court reporters and clients, and handling day-to-day client communication with a high level of accuracy and professionalism.
KEY RESPONSIBILITIE
• Be responsible for communication between court reporters and clients to ensure post-deposition tasks are completed at a high level
• You will process raw stenographic inputs, manage digital and physical exhibits, and ensure absolute transcript security.
• Manage files throughout the transcript production process
• Act as a liaison between stenographers and independent scopists/proofreaders to track jobs from raw feed to finalized draft.
• Convert physical and digital exhibits into searchable, Optical Character Recognition (OCR) PDFs, embedding hyperlinked anchors directly into the text.
• Generate industry-standard file outputs (such as .PTX, .LEF, .TXT, and ASCII formats) optimized for modern litigation software.
• Print, bind, and seal physical certified transcripts for traditional trial presentation or archival storage.
• Troubleshoot issues and answer questions between court reporters and clients
• Enter client job information into database software with a high level of accuracy
• Respond to client post-deposition inquiries and provide day-to-day client support, including answering phones
• Scan, copy, and file documents as needed
QUALIFICATIONS
Experience: Minimum 2 years of production, administrative, or document specialist experience within a court reporting agency or law firm.
Software Proficiency: Deep familiarity with transcript management software (e.g., RealLegal, Case Catalyst, or similar repository platforms) and Adobe Acrobat Pro.
Technical Savvy: Strong understanding of file conversion, encryption, and digital signatures.
Attention to Detail: Exceptional proofreading skills with an eye for minor formatting anomalies. Ability to quickly learn new software and procedures. Ability to work independently and expediently without sacrificing accuracy or detail.
