We are seeking a detail-oriented and organized Administrative Assistant Bookkeeper to join our team. The ideal candidate will be responsible for supporting the financial operations of the organization, ensuring accurate and timely financial reporting, and maintaining compliance with accounting principles and regulations. This role offers an exciting opportunity for a motivated individual to contribute to the financial success of our organization. Also, there is mandatory overtime with pay from February through April. **Responsibilities:**
Greet clients, answering questions and addressing concerns in a friendly and professional manner.
- Manage the day-to-day operations of the office, including scheduling appointments, handling phone calls, collections, keeping up to date with emails, scanning documents, filing (clerical duties) and maintaining accurate records.
- Preparing the work load for remote employees.
- Preparing documentation for new businesses and for various of audits.
- Assisting with Sales Tax, Payroll, Personal and Business Tax Returns.
- Utilize Google Suite to manage calendars, spreadsheets, letters and emails.
- Demonstrate strong phone etiquette, answering and directing calls with precision and poise.
- Provide administrative support to staff members, including preparing and writing documents, and reports.
- Maintain an organized and efficient office environment.
- Practice excellent time management skills to ensure all tasks are completed in a timely manner and meet all deadlines.
- Proofread documents and reports to ensure accuracy and professionalism.
- Assist with office management tasks such as research tax laws and ordering supplies.
- Prepare and maintain accurate and up-to-date financial records, including journal entries, general ledger accounting, and general ledger reconciliation.
- Assist in the preparation of monthly and annual financial reports, including financial statements.
- Utilize accounting software, such as QuickBooks, to manage and analyze financial data.
- Perform tasks related to governmental accounting, including compliance with GAAP and other relevant regulations.
- Maintain organized and detailed records, including ledgers and spreadsheets.
- Collaborate with other financial and administrative personnel to ensure accurate and timely financial reporting.
- Assist in the preparation of financial reports and statements for management and external parties.
**Qualifications**
- Experience as Admin. Assistant. Bookkeeper.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Proficiency with Google Suite (Sheets, Docs, Contacts, Calendar and Gmail business) and other office software's such as Microsoft Excel, Word, QuickBooks, and MailChimp.
- Excellent communication and phone etiquette skills.
- Ability to maintain confidentiality and handle sensitive information.
- Strong proofreading and editing skills.
- Ability to work independently and as part of a team.
- Memorization Skills.
- Ability to follow instructions.
- Knowledge of general ledger accounting and governmental accounting principles.
- Experience with financial reporting.
- Familiarity with GAAP and other relevant accounting standards.

- Certifications or experience preferred.
