We are seeking a highly organized and professional Receptionist and Administrative Assistant to join our CPA firm. This role is the first point of contact for clients and visitors and is responsible for providing administrative support to ensure smooth office operations. The ideal candidate will have excellent communication skills, a positive attitude, and a keen attention to detail.
Key Responsibilities:
Front Desk Management:
- Greet clients in a professional and friendly manner.
- Answer and direct phone calls, respond to inquiries, and provide general information.
- Manage appointment scheduling and maintain the firm's calendar.
Client Interaction:
- Assist clients with basic inquiries and direct them to the appropriate staff member.
- Collect and process documents from clients, ensuring confidentiality and accuracy.
- Prepare and send client communications, such as appointment reminders and follow-ups.
Administrative Support:
- Assist in the preparation and organization of documents, reports, and presentations.
- Maintain and update client files, ensuring data is accurate and easily accessible.
- Coordinate meetings, conferences, and other firm events as needed.
Data Entry and Record Keeping:
- Accurately enter and update client information into the firm’s database.
- Maintain filing systems, both physical and electronic, ensuring records are up to date.
Support to CPA Team:
- Assist CPAs and other staff with administrative tasks, including document preparation, data entry, and research.
Qualifications:
- High school diploma or equivalent; associate degree or relevant certification preferred.
- Previous experience in a receptionist or administrative assistant role, preferably in a CPA or financial services firm.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multi-task and prioritize work.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software or databases is a plus.
- Professional demeanor and a customer-service-oriented attitude.
- Ability to handle confidential information with discretion.
Working Hours:
- Full-time, Monday to Friday.
- Occasional overtime during peak tax seasons.
