Overview

This is great opportunity for a mature organized disciplined leader. Practice Manager - Office Manager - Operations Manager for a growing orthodontic office with plans to expanding current staff to 10 - 12 team members.

Must have have at least 3+ years of experience managing staff and office operations in dental, medical, healthcare or professional services, including the meticulous details of professional etiquette and coaching staff-patient communications.

Proficiency to communicate with IT service is also essential to maintain hardware and software functions.

Hiring - understanding the strategies of hiring and have experience including but not limited to Indeed, Zip Recruiter, Facebook, Google and networking would be beneficial to the upcoming expansion of our staff. Writing skills are essential including drafting, proofing and editing office documents including doctors correspondence.

Staff Management – Getting to Know Your New Team

• Staff evaluations immediately upon hire to understand each staff member's role, assignments and perceived abilities
• Study the responsibilities, strengths, and weaknesses
• Implement current training protocols
• Organizing and scheduling staff meetings and implementing morning huddle protocols
• Monitor time clock and report payroll to accountant

Operational Management

• Weave® (Phone, texting, appointment reminders, voicemail) Mastering functions and constant dashboard monitoring. Complete the customization/ installation designing the communication tree of appropriate greetings, menus, and mailboxes
• OrthoFi® experience a plus (third-party financing)
  • Must master patient presentation and monitor financial functions, reminders, communications, and reports
  • Develop and revise protocols for automated functions and scheduled messaging
  • Coordinate communications with phone system (Weave) messaging
  • Develop written protocols for all new patients’ financial communications and pending
• Orthotrac® Orthodontic management systems
  • financial functions and generates daily, weekly, and monthly reports
  • patient charting and digital imagining
  • communication functions, email, financial and correspondence to dentists
  • May convert to Ortho II Edge® or Dolphin®
• Identified needs for outsourcing
• Facilities management evaluates current needs for maintenance repair and updates and organizes the use of current display monitors throughout the office for patient education and treatments available.

Financial Management

• Understand profit loss reports,

• Communicate with accountants regarding banking, cash positions, and tax documents.
• Monitor and evaluate collection protocols,
• Sending monthly statements as needed
• Monitors overhead and understands optimal allocations, such as marketing, staff overhead, and operational expenses
• Evaluate overhead, target areas to reduce and develop budgets, delegates, and monitors
• Responsible for payables
• Delinquency protocols, understand, as an example, reasons for optimal delinquency
