Summary:
The Office Coordinator is accountable for certain financial expenditures, customer and internal support, and branch office policies and procedures. Ensures the branch adheres to policies, objectives, and practices of Triosim Corporation. Familiar with a variety of general business office practices and procedures in a manufacturing environment. Relies on experience and judgment to plan and accomplish goals with limited oversight. No supervisory/management responsibilities.
Essential Functions:
Responsible for the organization and coordination of office/shop operations, procedures and resources to facilitate organizational effectiveness and efficiency.
· Clerical, administrative and secretarial responsibilities
o Enter daily time in project costing system (GP) - Future
o Maintain time system (ClockShark)
o Ensure filing systems are maintained and up to date
o Enter AP transaction entry invoices after approval
· Organize orientation and training of new staff members
· Handle shipment of pumps/inventory to customers
· Ensure filing systems are maintained and current
· Ensure security and confidentiality of data
· Ensure office and shop policies and procedures are being adhered to
· Prepare operational reports (Job lists and Fluix reports) and schedules to ensure efficiency
· Monitor and maintain office supplies inventory
· Maintain a safe and secure working environment
· Receipt and logging of incoming parts and supplies
· Handle customer inquiries and complaints
· Liaise with other locations and groups
· Ensure effective transfer of files and records
· Ensure personnel files are up to date and secure
· All other duties as assigned
