Job Title: Onboarding AssociateJob DescriptionThe Onboarding Associate plays a central role in welcoming new hires and supporting the full recruiting cycle from initial application through offer acceptance and first day. This position ensures candidates move smoothly through each stage of the hiring and onboarding process while maintaining compliance, accuracy, and a positive employee experience. The role focuses on candidate screening, interview coordination, offer processing, new hire onboarding, and ongoing communication, with a strong emphasis on administrative support and HR systems accuracy.
Responsibilities- Review incoming applications, screen candidates based on role requirements, and coordinate interviews with hiring teams.
- Schedule interviews, send confirmations, and maintain clear communication with candidates and hiring managers throughout the interview process.
- Prepare offer letters, initiate background checks, and ensure all pre-employment steps are completed accurately and on time.
- Manage new hire onboarding activities, including new hire paperwork, E-Verify processing, I-9 completion, and internal system setup.
- Support orientation by coordinating first-day logistics, distributing onboarding materials, and ensuring new hires understand company policies and expectations.
- Accurately enter and maintain employee information in HRIS and other HR systems, ensuring data integrity and timely updates.
- Track onboarding and compliance documentation to ensure adherence to all applicable federal, state, and company requirements.
- Post job openings, update and maintain applicant tracking systems, and provide hiring managers with regular candidate status updates.
- Serve as the primary point of contact for candidates throughout the hiring and onboarding process, responding to questions and providing timely updates.
- Provide general administrative and clerical support to the HR and recruiting teams, including document preparation, record keeping, and file management.
- Collaborate with HR and recruiting colleagues to improve onboarding processes and enhance the overall candidate and new hire experience.
Essential Skills- Experience in human resources, onboarding, recruiting, or HR administration, preferably with exposure to high-volume hiring.
- background in administration and administrative support, including clerical tasks and data entry.
- Strong organizational skills and attention to detail, with the ability to manage multiple onboarding tasks simultaneously.
- Excellent written communication and interpersonal skills, with a customer service mindset when interacting with candidates and internal stakeholders.
- Proficiency in Microsoft Office, including Outlook, Excel, and Word.
- Comfort working in fast-paced, high-volume hiring environments while maintaining accuracy and professionalism.
- Ability to maintain confidentiality and handle sensitive employee and candidate information appropriately.
- Ability to work effectively with HR systems and applicant tracking systems to manage candidate and employee data.
- Understanding of compliance requirements related to onboarding documentation, including E-Verify and I-9 processes.
Additional Skills & Qualifications- HR or recruiting experience preferred, especially within transportation or logistics environments.
- Experience supporting new hire orientation and onboarding programs.
- Familiarity with recruitment processes and job posting practices.
- Demonstrated ability to provide high-quality customer service to candidates and internal partners.

Pay and BenefitsThe pay range for this position is $24.03 - $26.44/hr.
