4SIGHT Legal Services, PLLC is a small estate-planning and business law firm in Chattanooga. We help, individuals, families and business owners plan carefully, communicate clearly, and steward both financial and non-financial assets and their enterprises across generations. Our work includes estate planning, trust design, trust funding and asset integration, probate/estate administration, and long-term client maintenance, business counsel and succession / transition planning.
We are seeking a dependable, organized, and client-centered person to help improve communication, scheduling, document flow, matter tracking, follow-up, and office organization.
Schedule and Compensation
This position is intended to begin as a part-time role, approximately 20–25 hours per week, with some flexibility in scheduling. Starting compensation is expected to be in the range of $20–$24 per hour, depending on experience, skills, and fit.
For the right person, there is an opportunity for the role to grow over time in both hours and compensation as the firm’s needs, workload, and financial capacity support that growth. The goal is to build a stable, sustainable position rather than rush into an arrangement that is not practical for either the employee or the firm.
Primary Responsibilities
· Serve as a warm, professional point of contact for clients, prospective clients, advisors, and other callers.
· Help manage phone messages, email follow-up, scheduling, meeting confirmations, and client reminders.
· Maintain and update matter lists, task lists, deadlines, next actions, and follow-up items.
· Help organize client files, forms, signed documents, scanned records, correspondence, and estate-planning binders.
· Assist with document flow for estate planning, trust funding, asset integration, probate, and related matters under attorney direction.
· Help prepare for client meetings, signing appointments, Zoom meetings, and follow-up communications.
· Coordinate information from clients, financial advisors, institutions, and other professional contacts.
· Support office organization, mail, supplies, filing, scanning, copying, data entry, and general administrative needs.
· Help improve office systems, checklists, workflows, and processes as the firm grows.
· Maintain strict confidentiality and handle sensitive family, financial, and legal information with care.
Qualifications
· Prior administrative, legal, professional office, client-service, bookkeeping, property management, or similar experience preferred.
· Legal assistant, paralegal, estate-planning, probate, notary, or trust-funding experience is helpful but not required.
· Strong verbal and written communication skills.
· Excellent follow-through, attention to detail, and ability to keep tasks moving.
· Comfort interacting with clients who may be anxious, grieving, overwhelmed, or dealing with sensitive family issues.
· Ability to work in a small-office environment where reliability, initiative, judgment, and discretion matter.
· Comfort with Microsoft Office, email, calendars, PDFs, scanning, cloud-based tools, and learning new software.
· Ability to organize information, track next steps, and help prevent important matters from falling through the cracks.
