POSITION SUMMARY:

The Constituent Operations Specialist serves a key role in the ministry's financial stewardship by accurately processing charitable contributions, preparing and reconciling bank deposits, maintaining gift records, and ensuring the integrity of donation data within the constituent relationship management (CRM) system. This position supports the Constituent Care team through accurate financial recordkeeping, reconciliation, and reporting while also providing excellent customer service to ministry constituents through phone, email, social media, and written correspondence.

ESSENTIAL DUTIES:

• Prepare and balance daily bank deposits, ensuring proper handling and safeguarding of all monetary contributions in accordance with ministry policies and procedures.
• Reconcile donation records entered into the CRM with physical checks, cash receipts, deposit records, and supporting documentation to ensure accuracy and accountability.
• Assist with gift processing quality control and identify discrepancies for timely resolution.
• Process returned checks, adjustments, refunds, and gift corrections as needed.
• Maintain confidentiality and exercise sound internal controls in the handling of financial information and donor records.
• Support accounting audits by organizing and providing requested documentation.
• Provide phone, email and social media support as needed.

KNOWLEDGE/EXPERIENCE/EDUCATION:

Minimum of one year of customer service, administrative support, donation processing, bookkeeping, or related experience preferred.

• Experience handling cash, checks, deposits, or financial record reconciliation preferred.
• Excellent computer and internet skills, including proficiency in Microsoft Office and Mac systems.
• Experience using CRM or donor database systems preferred.
• Strong attention to detail with a high degree of accuracy in data entry and financial recordkeeping.
• Expertise in quality control and data analysis is a plus.
• In-depth knowledge of and commitment to the organization's mission, philosophy, values, and objectives.
• Ability to function effectively in an upbeat, collaborative team environment and exercise sound judgment.
• Excellent time management, organizational, problem-solving, and communication skills.
• Maintain confidentiality and proper stewardship of constituent information and financial records.

WORKING ENVIRONMENT/PHYSICAL REQUIREMENTS: 


• Office environment with standard office equipment such as computers, filing cabinets, fax machines, and copy machines

• Interacting with others for information gathering, training and feedback

• Ability to lift files, open file cabinets, and bend or stand on a stool or step-ladder
• Ability to sit for long periods of time
• Ability to move about to gather information
