Bilingual Office Manager (Spanish/English)
We are seeking an organized, service-focused Bilingual Office Manager (Spanish/English) to support daily operations for a busy workplace. This contract position serves as a central point of contact for employees, visitors, and vendors and requires the ability to communicate fluently in both English and Spanish. The ideal candidate brings strong judgment, a hands-on approach, and the ability to manage competing priorities while creating a welcoming and inclusive environment for a diverse workforce.
Responsibilities
- Oversee day-to-day office operations to keep the workplace running smoothly for approximately 50 to 60 employees on site.
- Serve as a key point of contact for both English- and Spanish-speaking employees, visitors, vendors, and service providers.
- Welcome guests, support employees at the front desk, and provide a positive first impression for everyone entering the office.
- Coordinate facility-related needs by tracking issues, responding to employee requests, and working with building management or vendors to resolve maintenance concerns.
- Monitor office inventory levels, place orders for workplace and kitchen supplies, and ensure essential items remain available.
- Manage incoming deliveries and organize receipt and distribution processes to ensure materials reach the appropriate recipients efficiently.
- Help maintain shared spaces by ensuring breakroom and kitchen areas remain stocked, organized, and operational.
- Assist with new hire onboarding by preparing workspaces, coordinating logistics, and helping employees get settled.
- Provide administrative support for office events and team gatherings, including coordination of materials, space, and event details.
- Utilize Microsoft Office Suite and Zendesk to track requests, maintain records, and support office administration functions.
- Provide verbal and written communication, translations, and general support in both English and Spanish as needed.
Qualifications
- Fluent bilingual communication skills in both Spanish and English are required.
- Minimum of 3 years of experience in office management, workplace coordination, reception, or administrative support.
- Experience supporting diverse employee populations and communicating effectively across language barriers.
- Demonstrated ability to manage front-of-house responsibilities while delivering a professional and customer-focused experience.
- Experience with office supply purchasing, inventory tracking, and general administrative office operations.
- Familiarity with facilities coordination, including managing building-related issues and vendor relationships.
- Working knowledge of accounts payable processes and related office documentation.
- Strong problem-solving skills, resourcefulness, and the ability to work independently.
- High level of attention to detail, professionalism, sound judgment, and discretion with sensitive information.
- Proficiency with Microsoft Office Suite required; Zendesk experience preferred. AutoCAD exposure is a plus.
