Position Overview
As a Dispatch Assistant, you will work directly under the Dispatch Lead to support the daily scheduling and coordination of restoration projects. This role is responsible for creating jobs, communicating with homeowners and field employees, preparing work orders, and ensuring accurate information flows between the office and the field.
This is not a slow-paced administrative position. Our dispatch team operates in a fast-moving environment where priorities shift quickly and every minute matters. Responsibilities:
- Create and set up new jobs accurately across all company systems.
- Contact homeowners to schedule appointments, provide project updates, and confirm job details.
- Communicate with technicians, Project Managers, and internal teams to coordinate daily schedules and manpower.
- Prepare, update, and distribute daily work orders and technician schedules.
- Respond promptly to incoming customer calls and return calls regarding scheduling changes or updates.
- Assist the Dispatch Lead with managing daily scheduling priorities and adjusting schedules as project needs change.
- Coordinate technician assignments while maintaining awareness of employee availability, skill sets, and fleet resources.
- Compile project updates from Project Managers and communicate necessary information to field staff.
- Provide backup support for dispatch operations and general administrative duties as needed.
- Answer multiple phone lines, route calls appropriately, issue purchase orders, and assist with other office functions.
- Maintain accurate documentation and ensure all scheduling information is entered correctly and communicated in a timely manner.
Skills, Knowledge & Abilities:
- General knowledge of the construction industry preferred.
- Excellent verbal and written communication skills.
- Exceptional organizational skills with strong attention to detail.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong sense of urgency and ownership over assigned responsibilities.
- Calm under pressure and able to adapt quickly to changing priorities.
- Comfortable communicating with customers, technicians, and management throughout the day.

- Strong problem-solving skills and the confidence to make decisions when appropriate.

- Proficient in Microsoft Office and comfortable learning multiple software systems.
- Positive attitude with the resilience and grit to handle a high-volume workload.
Qualifications:
- High school diploma or equivalent.
- Minimum of two years of experience in construction, dispatching, scheduling, customer service, property management, or a related field.
- Experience working in a high-volume office environment is strongly preferred.
Physical & Work Environment:
- Ability to sit, stand, walk, bend, stoop, and crouch as required.
- Must be able to lift up to 40 lbs regularly.
- Work takes place primarily indoors in a climate-controlled, smoke-free office environment with a moderate noise level.
- Occasional early mornings, evenings, or weekends may be required to support business operations and scheduling demands.
