Job Description
The Patient Services Coordinator supports front-office operations in an outpatient flu and TB clinic by managing patient registration, check-in, and documentation with a high level of accuracy and professionalism. This role serves as a key point of contact for patients, ensuring a positive experience while maintaining compliance with confidentiality and healthcare documentation standards. The coordinator works closely with clinical and administrative staff to promote efficient patient flow and resolve any issues related to missing or inconsistent registration information in a fast-paced clinic environment.
Responsibilities
- Greet patients in a professional and welcoming manner and serve as the primary point of contact at the front desk.
- Complete patient registration and check-in processes accurately, including collecting and verifying demographic information and required documentation.
- Verify insurance eligibility and documentation to ensure accurate and complete patient records.
- Update and maintain patient information in electronic medical record (EMR) or electronic health record (EHR) systems, ensuring data accuracy and completeness.
- Communicate clearly and professionally with patients to explain the registration and check-in process and answer questions.
- Oversee routine front-office administrative workflows to support efficient patient flow in an outpatient flu and TB clinic.
- Coordinate appointment scheduling and ensure patients are checked in and routed appropriately to clinical staff.
- Maintain strict patient confidentiality and comply with HIPAA regulations and organizational policies.
- Ensure medical records documentation is accurate, timely, and properly handled in accordance with clinic procedures.
- Collaborate with clinical and administrative staff to resolve missing, inconsistent, or incomplete registration or documentation information.
- Support referral coordination and eligibility verification as needed to facilitate patient access to services.

- Strong verbal communication skills with the ability to communicate clearly and professionally with patients and staff.
- Ability to manage multiple administrative tasks simultaneously in a fast-paced clinic environment.
- Knowledge of basic medical terminology relevant to outpatient and ambulatory care settings.
- Competence in front desk operations, including patient relations and appointment scheduling.

Work Environment
This position is based in an outpatient flu and TB clinic within an ambulatory care environment, supporting high-volume patient registration and check-in. The role operates Monday through Friday, with shift start times between 6:00 a.m. and 10:30 a.m., and requires flexibility to work varied shifts. The schedule consists of 8-hour shifts for a 40-hour workweek.
