The Bilingual Front End Healthcare Supervisor will be responsible for overseeing the daily operations of the front-end team within the healthcare facility. This role ensures that all front desk operations, including patient check-in, registration, scheduling, and customer service, are carried out efficiently and effectively. The Supervisor will lead a team of front-end staff, ensuring a high standard of patient care and a seamless experience for all visitors.
Role and Responsibilities
Supervise, train and mentor front-end staff, including receptionists and patient coordinators.
Schedule shifts, manage time-off requests and ensure adequate coverage during all hours of operation.
Conduct performance evaluations and provide ongoing feedback to team members.
Ensure smooth daily operations of the front desk, including patient check-ins, appointment scheduling, and payment processing.
Monitor and optimize workflows to reduce patient wait times and improve overall service delivery.
Oversee the implementation of front-end policies and procedures, ensuring compliance with healthcare regulations and facility standards.
Address patient concerns and complaints promptly, ensuring a positive experience for all patients and visitors.
Ensure the front desk team provides courteous, professional and efficient service to all patients and healthcare providers.
Implement and monitor customer service protocols to maintain a high level of patient satisfaction.
Manage patient records, ensuring accuracy, confidentiality, and compliance with HIPAA regulations.
Coordinate with billing and insurance teams to ensure proper documentation and communication of patient information.
Monitor front-end supplies and equipment, ensuring all necessary materials are available and in good working condition.
Liaise with healthcare providers, nurses and other departments to ensure effective communication and coordination of patient care.
Participate in regular meetings with management to discuss front-end performance, challenges, and improvement strategies.
Communicate any updates or changes in policies, procedures, or systems to front-end staff in a timely manner.
Qualifications and Education Requirements
High school diploma or GED required; Associate’s or Bachelor’s degree in Healthcare Administration, Business Administration, or related field preferred.
Minimum 3-5 years of experience in a healthcare setting, with at least 2 years in a supervisory or leadership role.
Strong knowledge of front desk operations, patient scheduling, and customer service in a healthcare environment.
Must be fluent in English and Spanish.
