Summary
Under the general direction of the VP of Medical Affairs, the UM Secretary is responsible for scheduling, preparing, and interfacing interdepartmental to coordinate meetings. The UM Secretary must have the ability to deliver quality results with tight deadlines and maintain accurate records and documentation.
Duties and Responsibilities
· Schedule and organize UM Committee and joint workgroup meetings, preparation, and distribution of meeting materials.
· Calendar management
· Prepare and edit correspondence, communications, presentations, and other documents
· Record accurate and comprehensive minutes.
· Ensure timely distribution of meeting minutes and follow-up on action items.
· Provide administrative assistance to the VP of Medical Affairs, including calendar management, and document preparation
· Maintain accurate and up-to-date records of committees, workgroups, and related documents.
· Ensure compliance with regulatory requirements related to UMC activities
· Maintain confidentiality of sensitive information and adhere to privacy and security policies.
· Track and follow up on action items and decisions made during meetings.
· Liaise with internal and external contacts
· Assist in the implementation of UMC-approved policies and initiatives.
Minimum Job Requirements
· College graduate: additional relevant certifications or education is a plus
· Knowledge of and application of regulatory and quality standards and measures including but not limited to State Medicaid Programs, Medicare, and Quality Accreditation (e.g., State Medicaid regulations, CMS, NCQA, etc.)
· 2+ years of Utilization Management & Managed Care experience required.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint, Visio, OneNote)
Skill and Abilities
· Proven experience as a secretary or administrative assistant in a healthcare setting.
· Effective verbal and written communication skills, a must
· Exceptional attention to details
· Excellent planning and organizational skills
· Ability to prioritize and manage multiple tasks simultaneously
· Strong interpersonal skills: ability to collaborate effectively with both internal and external contacts
· Ability to work independently and take direction
