Job Summary
The Office Manager is responsible for the overall store operation, the continued growth of the business, and the customers and associates working in the office (if applicable) at the location. This position is responsible for increasing overall lending productivity, office profitability, marketing, and meeting monthly fees/sales revenue across ALL products, including "but not limited to" Insurance sales and tax preparation. Managers will have complete adherence and understanding of company policies and procedures, Sell and Cross-sell products to new and existing customers, be fast learners, and have the ability to perform in a quick, multi-tasking environment.
Duties/Responsibilities
Customer Service in person / on the phone
- Responsible for professionalism at all times in speaking to customers and in self-appearance
- Responsible for ensuring the highest level of customer service.
- Accountable for building and maintaining customer relationships
- Attentive. Listens to each customer. Understand their needs.
- Ability to adhere to complete confidentiality and treat customers as your #1 priority.
- Ensures customer has complete knowledge and understanding of all the products and services offered.
Sales: Product and Services
Pay Day Loans
Installment Loans
Print, Fax, & Copy
- Ability to understand and identify customer needs
- Ability to recommend and cross-sell products and services that best fit the customer
- Ensure approved loans are closed correctly.
Marketing
- Responsible for developing marketing options and action plans, Tracking their success, Determining their effectiveness
- Market to inactive customers via phone, mail, or text messaging. We are offering promos.
- Market to prospective customers via direct mail, through the referral program, and even through field marketing
- Develop business partners; market through your partners, too
Operations
- Accountable for the store development of daily, weekly, and monthly goals and objectives
- Responsible for store organization in its entirety
- Responsible for making daily bank deposits
- Accountable for store cleanliness and appearance at all times
Training/Compliance
- Demonstrates complete knowledge of the process for each product and shares best practices with team members
- Supports all team members' adherence to company policies and procedures
- Maintains updates and documented procedures
- Ensure customer information is entered into the P.O.S. system correctly.
- Ensure all P.O.S.e are entered into the P.O.S. system correctly.
- Ensure all P.O.S.er files are created, equipped with required documents, and maintained correctly.
- Ensure all customer files are correctly stored and secured in designated areas.
- Ensure and adhere to compliance processes and practices with the state and federal lending regulations.
Collection
- Responsible for follow-up/reminder calls are made to each customer before their due date
- Responsible for managing and collecting on delinquent accounts
- Ensure all delinquent accounts are well-documented
- Maintains a sense of urgency attitude on collections at ALL times
Cash Management (Complete Trust Worthy)
- Experience in cash/money handling
- Maintain cash drawer; Ensuring accuracy; Ensuring security
- Responsible for cash withdrawals, Ensuring funds are correctly entered into the system.
- Responsible for preparing deposits and ensuring deposits are made daily and timely.
- Ensuring funds held over are secured in a safe.
Team /Office Presentation
- Ensure a positive team environment; Support and Work well with each other.
- Ensure the office is always neat, clean, and well-organized
- Ensure the office is always sales-ready
- Ensure the office is well equipped with supplies needed for daily operation; there is no time for delays.
- Ensure the office equipment is well maintained.
Qualifications
- Detailed oriented
- Ability to reduce/eliminate escalations
- Professional in appearance, speaking, and approachable with exceptional customer service skills
- Ability to build a strong and maintain rapport with current and prospective customers in person, over the phone, through email, or out in the field
- Complete knowledge of all services and products offered
- Minimum of 2 years of experience in the financial services industry
- Minimum of 2 years of experience in cash/money handling
- Multitasker and ability to work in a fast-paced environment
- Knowledge of Microsoft Office
- Ability to train others and present to staff/management
