JOB SUMMARY:
We are looking for a skilled Office Manager who would set the tone for the office, serving as the first point of contact by answering phones, greeting and directing clients to the appropriate team member, and ultimately putting client’s needs first to provide exceptional service every time. The Office Manager facilitates the day-to-day office operations and ensures a productive, efficient, and effective office environment. This includes responsibility for all administrative functions, office initiatives, supplies, and friendly first contact for clients. Other accountabilities could include facilities, accounts receivables, and client event planning. The Office Manager should be self-motivated with excellent organizational skills and have the ability to adapt to changing business needs and priorities. They have the skills and experience to work with minimal supervision and take initiative to solve problems and help improve processes and practices.
Duties include, but not limited to the following:
· Greet visitors
· Screen and/or selectively refer callers to the appropriate team member
· Scan, copy, and file documents
· Process/distribute incoming and outgoing mail
· Schedule appointments and confirm appointments
· Contact clients to notify them when their tax returns are available
· Assemble tax returns after they have been prepared and distribute them to clients
· Process client payments and send out statements for accounts receivable
· Coordinate with supply vendors, manage supply/office contracts
· Research client inquiries
· Resolve customer service issues
· Assist with financial service paperwork including new account applications, account maintenance paperwork, etc.
· Maintain a high level of professional standards (honesty, integrity, professional appearance and demeanor, dependability, and conflict resolution)
· May provide administrative support as needed and/or perform special projects as assigned
MINIMUM QUALIFICATIONS:
Knowledge/Experience/Skills:
Ø Previous work experience or degree in business, finance, or related field
Ø Computer skills and proficiency in Microsoft Office, QuickBooks Online, Zoom, and Adobe software
Ø Professional, welcoming, and client centric written and oral communication skills
Ø Demonstrated history of ethical behavior and high integrity
Ø Detail oriented and a creative problem solver
Ø Ability to prioritize work and meet deadlines and requirements
Ø Must pass FBI fingerprinting and background check
Ø Work Location – In Person
