Key responsibilities of the Executive Assistant are:
- To be the trusted assistant to the Financial Advisors, Practice Manager and the team.
- Manage complex calendars for financial advisors by scheduling and confirming appointments with clients, prospects, and others, and make all required meeting arrangements;
- Manage incoming calls by answering, screening and fielding all calls, handling routine issues, prioritizing client requests and delegating to appropriate team members. Ensure timely and accurate response.
- Maintain and organize client files, both physical and digital, scan and store documents for compliance purposes, and maintain accurate client data, proper notations, and activity tracking in our CRM (Client Relationship Management software).
- Monitor incoming emails on a regular basis for the managing partner, respond when appropriate, and file as requested. Monitor incoming emails for other financial advisors during vacations, or as requested.
- Prepare all outgoing correspondence and process all incoming mail and maintain Correspondence Compliance file.
- Responsible for client touches, including birthday and other greeting cards, and client gifts.
- Assist with accounts payable and monthly expense reporting.
- Responsible for new client onboarding and new staff onboarding.
- Order office supplies for the practice and maintain inventory.
- Assist with the preparation and distribution of newsletters through Constant Contact.
- Assist financial planners and Practice Manager with other administrative functions, and various projects as requested.
Essential skills include:
- Must have a polished and professional demeanor;
- Must have significant experience in a role with heavy client interaction;
- Must have significant experience managing complex calendars;
- Must be a strong communicator, with excellent written skills including proper grammar and spelling, and strong verbal communication skills as phone interaction is a primary responsibility;
- Must be highly organized and efficient with excellent time-management skills and a focus on meeting deadlines;
- Thrives confidently in a fast-paced environment, can multi-task and prioritize effectively;
- Excellent organizational and problem-solving skills;
- Meticulous follow-up and great attention to detail;
- Professional attitude, dependable and flexible;
- Must be tech-savvy with excellent overall computer skills;
- Ability to work both independently and as a strong member of a team.
Requirements:
- High level proficiency in Microsoft office, most specifically Outlook;
- Command of the Outlook calendar management system;
- Experience with CRM software required, with RedTail CRM experience a plus;
- Experience with Zoom a plus;
- Knowledge of Constant Contact a plus;
- Some college or business school preferred;
- Three or more years of experience in a similar role;
- Experience in a financial practice preferred.
Status:
- This is a Full-Time, on-site position in Lincroft, NJ
- Hours will be 8:30 a.m. – 4:30 p.m., Monday - Friday
Salary/Benefits:
- Salary is commensurate with experience;
- This is a non-exempt position;
- Includes health care/dental coverage and 401(k) after 90 days;
- PTO plus 8 stock market holidays.
