Executive Assistant to Team – Private Equity
A global Private Equity firm with an incredible employee- centric culture is hiring for a collaborative Executive Assistant to support a wonderful team of dynamic, high-level professionals. The role requires the ability to work in a fast-paced dynamic environment while multi-tasking and demonstrating forward thinking.
Salary commensurate with experience $110-135k base + discretionary bonus + 3 weeks vacation, fully paid benefits, 401k match
Hybrid – Midtown East NYC - mostly 3 days/week in office, but some weeks it will be 4 days on site so need flexibility
Hours: 8:30/9am-5:30/6pm with some flexibility as needed
Responsibilities
- Schedule and coordinate various types of internal and external calls and meetings with numerous stakeholders.
- Regularly monitor and adjust calendars given the dynamic nature of our business.
- Plan international & domestic travel, itineraries, and local transportation for business trips.
- Partner with other team admins to maintain sector materials and schedule sector events (offsite events and materials, etc.).
- Assist team admins in planning portfolio company BOD meetings and dinners when needed. This may include setting up room blocks, finding meeting spaces, arranging IT for meetings, and researching BOD dinner locations.
- Prepare and submit expense reports and reimbursements in a timely fashion.
- Own the preparation of materials for certain meetings including binding decks as needed.
- Prepare and organize notes for Advisory Board meetings alongside other admins.
- Microsoft Office: Word, PowerPoint and Excel skills will be critical.
- Occasional reception coverage during lunch.
Professional Experience / Qualifications
- Minimum 4+ years supporting executives in financial services
- Experience managing travel itineraries, meeting planning and conference calls (including different time zones).
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word) and Outlook.
- Bachelor’s Degree required.
- Self-starter who demonstrates initiative and a team player mentality.
- Able to multi-task and pivot / reprioritize as new information emerges.
- Thinks proactively and anticipates / sees around corners.
- Uses critical thinking to solve problems.
- Strong attention to detail and uses discretion with confidential matters.
