We are in search of a meticulous and experienced Assistant Controller to be a part of our team. This role will be vital in ensuring accurate financial reporting, maintaining compliance with GAAP for Not-for-Profit organizations, and supporting our organization’s mission-driven programs. The role is based in Sonoma, California.
Responsibilities:
• Oversee general ledger and journal entries, including recording and reviewing entries, maintaining documentation, reconciling accounts, and resolving discrepancies.
• Manage grant and restricted fund accounting, including managing grant finances, collaborating with teams for accurate invoicing, and maintaining separate restricted fund records.
• Assist in month-end closing and financial reporting processes to ensure accurate reconciliations, preparation of financial statements, and analysis of variances.
• Review payroll journals, maintain accurate PTO balances, and coordinate with HR on discrepancies.
• Support the annual budgeting process, review trends, and provide department heads with relevant data.
• Assist with documentation and support during annual audits, address queries and requests.
• Maintain internal financial controls and recommend process improvements.
• Offer backup support for accounts payable and receivable, and review GL coding.
• Proficiency in using accounting software (Sage Intacct experience is a plus), Microsoft Excel, and ADP payroll management software.• A minimum of 5 years of experience in a similar role such as Assistant Controller or Senior Accountant.
• Proficiency in Accounting Functions including Accounts Payable (AP) and Accounts Receivable (AR).
• Experience in Auditing is required.
• Familiarity with Sage Intacct software is expected.
• Proven experience in Budgeting and Forecasting.
• Knowledge of ADP Payroll system is essential.
• Experience in Grant Accounting and Fund Accounting, particularly in Non-Profit organizations.
• Ability to manage Adjusting Journal Entries and Journal Entries.
• Detailed knowledge of the General Ledger, Month End Close process.
• Experience in preparing Annual Audited Financial Statements.
• Proficiency in GAAP Accounting and US GAAP standards.
• Experience in Non-profit Accounting is a must.
• Applicants should have a strong understanding of financial regulations and legislation.
• Excellent problem-solving skills and the ability to make quick decisions.
• Strong communication skills, both verbal and written, are essential.
• Ability to work independently or as part of a team.
• Strong organizational skills and attention to detail.
• Proficiency in using Microsoft Office Suite, particularly Excel.
• Bachelor's or Master’s degree in Accounting or Finance is preferred.
• Professional certification such as CPA or CMA is a plus.
